Approval procedure

Any research organisation that, in view of conducting a research project, wishes to sign a hosting agreement with a researcher who is not a national of a European Union member state, must first be approved. The application for approval must be submitted to the Federal Science Policy using the ad-hoc form. The filled document can be sent by e-mail (either with a normal or with an electronic signature).

Please note that any research "organisation" that has answered to the last survey to date of the permanent inventory of Belgian scientific potential is exempted from the requirement to provide evidence of its R&D activities.

If the Federal Science Policy Office accepts the application, approval is granted for a period of 5 years.

The list of research organisations approved by the Federal Science Policy Office is published on this website and may be published on the site of the European Union.

Renewal procedure

The Royal Decree of July 3rd, 2007 gives (in its article 6) how a research institution that is already approved must proceed to obtain the renewal of its approval.

All is needed is to apply (on plain paper) before the Belgian Science Policy, no later than two months before the expiration of the approval.

There is no specific form for the demand.

If the Federal Science Policy Office accepts the application, approval is automatically granted for a period of 5 years.
